Trail Whisperer Race Series offer the following policies for race registration, individual cancellation/deferral/distance changes, event cancellation, crewing, clinic registration and volunteers.

You are accepting these policies when you register for a Trail Whisperer event or clinic. In the event your change your mind, you have 72 hours following registration to request a cancellation and refund of your entry.

Race Registration Policy

  • You may not transfer your race bib to another individual under any circumstances. Collecting your race bib and then giving it to another racer makes you complicit to race banditry. Race bandits are not covered by our insurance policy and may impact future race permits. Both you and the bandit will be banned from all future Trail Whisperer Race Series events.
  • A 100% race entry fee refund is available up to 72 hours following registration (processing fees are non-refundable).
  • Individual refund insurance is offered as an add-on during on-line registration. Participants that enroll in the Race Roster Enhanced Refund Protection Program will be refunded by Race Roster if they are unable to attend due to a variety of unforeseen circumstances, such as injury/illness, work travel conflict, severe weather; accidents/mechanical breakdown, etc.  Please see additional information here: Managing my Race Roster Registration Refund Protection.
  • Identification must be produced when picking up your race bib. You may pick up for another racer, but you must produce their identification.
  • All registered racers will follow the Trail Whisperer Race Rules and Etiquette.

Individual Distance Change/Deferral/Cancellation Policy

  • You may drop down in distance within the same event at any time. There is no cost refund for dropping down in distance.
  • You may move up in distance up to one week prior to an event if there is room and you pay the difference in registration fees at the current cost. No moving up the week before or the day of the event.
  • There will be no extra transfer fee for changing distance, however there may be a small processing fee.
  • There are no deferrals or refunds 72 hours following registration. No exceptions.
  • In the event personal injury or any personal circumstance prevent you from participating in the race you are registered for, we do not offer refunds or deferrals to future years races. We recommend that you opt in to the Race Roster Enhanced Refund Protection Program as described above.

Event Cancellation Policy

  • Trail Whisperer Race Series reserves the right to cancel an event due to circumstances beyond our control, including but not limited to:
    • Extreme snowpack or severe weather conditions before or during the event,
    • High fire danger, active fires near or on the course, or poor air quality, based on current government guidelines,
    • Trail usage is no longer allowed or possible due to unforeseen circumstances,
    • Pandemics or other public health emergencies,
    • Any other circumstances that compromise the safety of participants, volunteers, or staff.
  • No deferrals will be given in the event of a race cancellation under any circumstances.
  • Event cancellation insurance is included in the registration fee. Refund amount for race cancellation will be determined by the insurance company.

Crewing Policy

  • Runners are allowed to receive aid from their individual crews only within 100m of aid stations.  Crews can not touch anything at aid stations and can only provide their runner with items that their crew has brought. 
  • Spectators are encouraged at all locations along the course. See individual race page for suggested viewing areas. Spectators are encouraged to sign up to volunteer. It’s fun and you can cheer on everyone.
  • No pacing is allowed.
  • Finish line and aid station food is only for runners and volunteers.

Clinic Registration Policy

  • On the first day of the clinic, if you think that trail running is not for you, we will offer a full refund (less processing fees).
  • There are no deferrals or refunds following the first day of the clinic. No exceptions.
  • Free race entry(s) included with clinic fee are subject to the race registration policies (see above).
